How letters move through our reviewed mailing process.

How mail flows
- You mail your child’s letter to our PO Box using regular U.S. postage.
- When your letter arrives, we begin the review process.
- Approved letters are prepared and forwarded in a new envelope using the Kindness By Mail return address, not your home address.
- Replies, if received, come back through Kindness By Mail and are reviewed before forwarding.
Privacy by design: Families do not exchange home addresses through letters. Program letters are routed through our PO Box and forwarded using our return address.
Timing
- Review timing may vary depending on volume, safety review needs, holidays, and mail delays.
- Many approved letters are reviewed and forwarded within a few business days after they arrive at our PO Box.
- USPS delivery times vary and are outside our control.
- We will not rush or skip review to meet a delivery date.
Postage
Families are responsible for postage when mailing letters to Kindness By Mail. To keep letters simple and mailable, each program letter must be flat, flexible, and 1 ounce or less. Please do not include gifts, money, food, toys, bulky items, rigid items, sharp items, or anything that would require package shipping.
Lost or delayed mail
Kindness By Mail is not responsible for letters that are lost, delayed, damaged, misdirected, or not delivered by the postal carrier before they reach us.
If you believe a letter was lost or delayed after mailing it to Kindness By Mail, please contact us and we’ll review what we can.
For program letters, we may keep a scan or record of reviewed letters when needed to operate the service, support families, maintain safety records, or resend an approved letter if appropriate.
